PURPOSE OF THE POSITION:
To provide administrative duties to the Central Office and Human Capital department through reception duties, procurement administration, office administration and general office support.
QUALIFICATIONS & EXPERIENCE :
- A Diploma in Office Administration/Management
- A minimum of 3 years experience in a reception, secretarial or administration support role.
- SAP experience will be an added advantage
- Drivers license
KEY ACCOUNTABILITIES :
- Provide receptionist and front office duties
- Welcome all clients/guests in a friendly manner and offer them refreshments.
- Answer the phone in a professional and friendly manner, transfer calls and/or take messages.
- Proactively screen incoming calls and correspondence.
- Receive and sign off all documents/parcels and assets delivered to the office.
- Provide administrative support to the central office team
- Order office supplies.
- Coordinate mail and courier services.
- Purchase stationery and office supplies and ensure stock levels are maintained.
- Ensure an efficient filing system and maintain an efficient electronic record-keeping system.
- Supervise and coordinate the duties of the cleaner.
- Coordinate the calendar bookings of all boardrooms
- Arrange refreshments for meetings with external and internal stakeholders
- Liaise with travel agents to make the relevant flight, rental car and accommodation booking for all O&L Leisure Employees and external stakeholder.
- Provide administrative support to the Human Capital department.
- Coordinate visa applications and renewal of work permits.
- Assist with the onboarding of all new employees
- Ensure new staff employees are allocated parking spaces.
- Administer the MTC accounts
- Assist with arranging interviews.
- Coordinate Office Maintenance
- Oversee the upkeep of the building, ensure all is in good working order and pre-empt any preventative maintenance.
- Liaise with Broll and contractors on maintenance, repairs renovations.
- Ensure servicing of fire hydrants and replacement when necessary
- Provide procurement administration.
- Receive quotations and submit them for approval before processing.
- Create purchase requisitions on SAP.
- Receive, screen, process invoice and submit for payment processing.
