Description

  • Assist the Chief Executive and other executives with calendar management, scheduling meetings, and organizing appointments.
  • Manage the Chief Executive's diary effectively to optimize his/her time by taking due cognizance of business priorities when planning and organizing events and meetings.
  • Coordinate travel arrangements (local & international), including booking flights, visa applications, accommodations, and ground transportation.
  • Liaise with external business partners.
  • Coordinate internal and external meetings, events, and conferences, handling logistics and correspondence.
  • Build collaborative relationships with internal and external stakeholders through effective and open communication and building rapport.
  • Perform general administrative functions and manage office administration as required.
  • Ensure all calls are answered timeously in a professional & friendly manner and are appropriately routed and screened.
  • Work in close consultation with the Company Secretary to facilitate the various committee and board meetings and plan the annual EXCO meeting calendar and communicate accordingly.
  • Manage ad hoc queries/correspondence effectively by ensuring that they are prioritised, escalated appropriately, and resolved promptly by following up and closing off.
  • Project the correct image to internal and external stakeholders by maintaining a professional image at all times.

Requirements

QUALIFICATIONS AND EXPERIENCE

  • Grade 12, Bachelors degree in business administration, Office administration, or any other relevant qualification to this position.
  • A minimum of 3 years proven experience as an Executive Assistant or similar role.
  • Proficient in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
  • Discretion and confidentiality in handling sensitive information. Closing Date: 11 October 2024
