Purpose of Position:

To identify areas where Kraatz can enhance processes and workflows to remain competitive in the market by engaging management and stakeholders in identifying areas for improvement and assist in developing strategies to enhance management systems.


Qualifications/Key Requirements:

  • Bachelor's degree in business management, accounting, auditing or similar.
  • 5-6 years relevant process analysis experience in a senior supervisory position.
  • Understanding of management systems, workflows, and processes.
  • Experienced in management systems and their continues improvement.
  • Knowledge of process automation and information systems.
  • At least 4 years experience in Process based management system development and administration (ISO Systems

Key Accountabilities:

  1. Identification, Review and Improvement of governing documents of the Management System
  • Develop, implement and manage a cyclical review plan to ensure governing documents on the management system are updated and relevant at all times.
  • Effectively monitor and report on progress against the review plan targets to management teams.
  • Provide guidance and professional advice to process owners and to identify and analyse core management system processes and workflows, including governing policies, frameworks, standards, and supporting forms and templates.
  • Facilitate workshops with process owners to revise all management system documentation on a cyclical basis.
  • Critically evaluate all management system documentation to identify weaknesses and recommend improvements to be made by the process owner.
  • Review governing documentation on the management system and maintain desired documentation quality standards and structure uniformity.
  • Research and investigate the feasibility of implementing the latest business best practices and technological developments, to automate and streamline processes to help Kraatz perform more efficiently.
  • Recommend new process improvements to process owners and/or senior leaders for approval

  1. Training and Awareness
  • Develop an awareness and training plan with suitable content to present to the relevant audience to promote compliance with company policies and procedures.
  • Roll out the training and awareness plan, including presentations as well as utilising various employee engagement channels.
  • Notify Kraatz as and when new or revised documents are loaded onto the Sharepoint.
  • Provide support and guidance to process owners on documenting company policies, procedures and processes.

  1. Maintaining the Document Management System
  • Exercise version control over all governing documentation in the management system repository on Sharepoint Online.
  • Control access to the document system.
  • Save all new and updated governing documentation, and archive older versions.

  1. Tracking and Reporting
  • Report on the review status for Kraatz to management teams.
