PURPOSE OF THE POSITION


To deliver extensive administrative, reception, and secretarial assistance to the Executive Chairman and Executive Committee members. This encompasses managing all related communications and support services to facilitate efficient workflow within the Executive Chairman's office.



QUALIFICATIONS & EXPERIENCE

  • National Diploma in Office Administration/Secretarial or related field .
  • Minimum of 10 years experience as a Personal Assistant to a Director.
  • Valid Drivers License.
  • Typing speed of at least 35 words per minute.
  • Proficient in English and Afrikaans.
  • Proficiency in German is advantag eous .



KEY ACCOUNTABILITIES

  • Organize the Chairmans professional and personal schedule, effectively managing his agendas and calendar.
  • Manage and filter the chairman's emails, phone calls, and other correspondence, prioritizing important messages and responding on behalf of the chairman when necessary.
  • Arrange appointments, meetings, and travel plans as necessary.
  • Assist in preparing agendas, documents, board packs, and presentations for meetings attended by the chairman, and ensure that necessary documentation is provided in advance.
  • Gather data, statistics, and other relevant information to support the content of presentations.
  • Utilize presentation software to design slides and ensure consistency with the company's branding guidelines.
  • Compile and analyse data from various sources to create comprehensive reports for the chairman on key business metrics, performance indicators, and strategic initiatives.
  • Prepare written reports, summaries, and analyses of relevant industry trends, market research, and competitor activities.
  • Ensure accuracy and integrity of the information presented in the reports, verifying data sources, and conducting quality checks.
  • Take notes during meetings and following up on action items and decisions made, ensuring that tasks are completed in a timely manner.
  • Serve as a liaison between the chairman and other executives, employees, clients, and external partners, facilitating communication and fostering positive relationships.
  • Supervise the receptionists and always ensure excellent service to customers and stakeholders.
  • Handle sensitive information with discretion, diplomacy, and confidentiality.
