The Treasury Coordinator holds a pivotal role, responsible for a comprehensive array of treasury activities, ensuring precision and timeliness.
These multifaceted responsibilities include:
- Daily Financial Oversight : Regular monitoring of executed payments, bank transactions, and meticulous reconciliation of bank account balances against the treasury working file.
- Projection and Preparation : Creation of a working file that forecasts forthcoming bank operations, allowing for proactive financial planning.
- Financial Management : Diligent oversight and validation of bank charges and income, involving the preparation of monthly reports to keep stakeholders well-informed.
- Transaction Tracking : Vigilant tracking of all bank transactions with the ability to provide clear and pertinent commentary when needed.
- Payment Execution and Rectification : Efficiently managing payment execution, addressing issues like unexecuted payments, rejected payments, and ensuring the timely communication of vital information to Accounting/Cost Control for necessary corrections and reposting.
- Proof Retrieval : Proficiently recovering proof of payments from both local and foreign banks, aiding in comprehensive financial records.
- Cash Call Management : Carefully overseeing cash call payments from partner entities, ensuring a smooth flow of financial transactions.
- Cash Flow Optimization : Prudent management of short-term cash forecasts and facilitating seamless transfers within the affiliate's bank accounts, adhering to subsidiary and company procedures.
- Balance Ceiling Control : Rigorous control and monitoring of annual authorized balance ceilings per bank and currency, ensuring compliance with the GERICO exercise.
- Data Archiving : Upholding the systematic archiving of all relevant information to facilitate easy retrieval and regulatory compliance.
- Banking Powers Coordination : Playing a crucial role in the coordination of the process of updating banking powers for both local and external banks, ensuring that all changes related to authorized representatives are communicated effectively to maintain a sound relationship with the banks.
- Payment Schedule Management : Careful preparation of weekly and monthly payment schedules, encompassing the provisioning of bank accounts, the completion and validation of payment proposals, and harmonizing SAP and Themis systems for validation and submission to banks.
- IT and SAP Involvement : Actively participating in IT/SAP projects related to SAP connections and the Themis payment tool to enhance efficiency.
- Themis Payment Handling : Proficiently preparing payments, provisioning, and fund transfers within the Themis system, contributing to a seamless payment process.
- Loan and Interest Oversight : Vigilantly tracking the Company's financing loans, ensuring the validation of interest and repayments to maintain financial integrity.
- Reporting and Communication : Assisting in the preparation and timely submission of information and comments requested by the Company's Treasury and relevant authorities.
- Regulatory Reporting : Ensuring the preparation of the monthly Treasury reports and reports required by Namibian authorities such as the Bank of Namibia and the Ministry of Finance.
- Procedural Adherence : Demonstrating comprehensive knowledge of Treasury procedures, actively participating in updates and improvements as needed.
- Legal Information Management : Ensuring the archiving of all legal information related to the entity, verifying its validity, and requesting updates when necessary to maintain compliance.
- Exchange Rate Communication : Regularly communicating exchange rates for Expense Claims, facilitating transparent financial operations.
- Team Support : Within the context of a small team, offering assistance, support, and backup to team members, promoting collaborative work dynamics.
In addition to these responsibilities, the Treasury Coordinator is expected to uphold a code of conduct that includes:
- Confidentiality : Maintaining the highest level of confidentiality in all professional matters.
- HSE Commitment : Actively participating in Health, Safety, and Environment (HSE) training, adhering to internal policies, and reporting any irregularities.
Requirements
Key Accountabilities:
- Ensuring the precise and punctual completion of daily treasury activities.
- Effective management of all bank accounts.
- Timely execution of payments and diligent follow-up on all bank transactions.
- Accurate cash forecasting to maintain appropriate cash levels in different bank accounts.
- Preparation of relevant reports to provide visibility to various stakeholders.
Profile:
- A graduate in Finance, Economics, Management, or equivalent experience.
- A minimum of 5 years of experience in a similar role.
- Demonstrated ability to anticipate, react swiftly, and meet deadlines.
- Proficiency in accounting and financial knowledge.
- Preferred skills: Familiarity with SAP and an understanding of banking channels and operations, which would be advantageous in this role.
