Description

We are currently recruiting an Administrative Assistant for our esteemed client in the Property Management industry. The primary role of this position is to provide essential support to the Leasing function, debtor's collection function, and maintain control of all Municipal account recoveries. The successful candidate will be responsible for developing automated spreadsheets, assisting with debtor communication, managing financial records, maintaining filing systems, coordinating with suppliers, and other administrative tasks as required by the management.

Essential Job Functions:

  • Develop automated spreadsheets with monthly recovery percentages for municipal charges.
  • Assist in drafting letters to debtors for information or collection purposes.
  • Collect and maintain up-to-date financial and customer information records/database.
  • Organize and maintain a comprehensive filing system for agreements, property plans, and other important documentation.
  • Request quotes and arrange meetings with suppliers.
  • Handle any other reasonable requests from Management.

Non-Essential Job Functions:

  • Provide Leasing support with tenant information.
  • Assist in various functions within the Property Management Department.

Requirements

  • Namibian citizenship.
  • Grade 12 qualification with a tertiary qualification in administration.
  • 4-6 years of hands-on administration experience.
  • Proficiency in computer skills, particularly Excel and word processing.
  • Strong mathematical background and ability to work with numbers accurately.
  • Excellent multitasking, prioritization, and efficiency in work.
  • Strong communication skills (both written and verbal), excellent grammar, spelling, and proofreading abilities.
  • Ability to work independently, demonstrate initiative, and exhibit sound judgment.
  • Basic knowledge of accounting.
  • Good interpersonal skills are vital.
  • Knowledge of lease agreements.
  • A valid drivers license (Code B).
  • Should live in Windhoek.
  • Should be available to start immediately.
