Description

Essential Functions:

  • Creditors processing, payments and reconciliation
  • Banking and reconciliation of daily speedpoint transactions
  • Assisting with office related matters

Detailed work Activities on a daily basis:

  1. Banking and credit cards
  • Daily credit card batches sort and reconcile to speedpoint banking on FNB
  • summarize FNB speedpoint banking on excel
  • Process speedpoint banking of month on Pastel
  • Daily banking when requested or when Management on leave
  1. Suppliers
  • EFT all Cash suppliers on weekly basis as per GRVs
  • Pay suppliers cash out of Petty cash if and when required
  • Pay Wecke& Voigts on monthly basis
  • Pay Engen daily as requested by management
  • Process all GRV invoices on Pastel
  • Process all EFT payments on Pastel (Cash suppliers/Engen/Wecke)
  • Filing of invoices
  • Reconcile all suppliers on monthly basis
  • Handle all supplier queries
  1. Office/staff related
  • Process weekly salaries on Pastel
  • Summarise weekly salaries on excel for Cost to Company
  • Summarise weekly salaries social security on excel Social Security contribution form
  • Terminate and register new employee on Social Security
  • Monthly payment of Social Security Contributions
  • Draft contract and relevant documentation for new employees
  • Ensure relevant documentation regarding HR forms are on file
  • Filing of all staff related documents
  • Assistance on itas system to register employees for vat or submission of employee related matters
  • Ensure stationery is ordered when required or if and when admin administrator is on leave
  • Payment out of Petty cash to relevant suppliers when required
  • Check- in of deliveries of stock if and when required
  • Office hygiene
  1. General
  • Assist with the admin administrators duties while on leave
  • Assist HR/Finance Manager with other entities of owner when requested

Requirements

  1. 2 languages Communication and writing skills (English and Afrikaans)
  2. Grade 12 Senior Certificate
  3. 5 Year experience in field as well as creditors department
  4. Code 08 Drivers license required
  5. Work with outmost accuracy to balance figures
  6. Deal with people in a manner which shows sensitivity, tact, and professionalism
  7. Quality, Health, and Safety Awareness
  8. Responsible/accountable/punctual/Honest
  9. Ability to work under pressure and changing workloads
  10. Namibian citizen
