Lavoro Insurance Namibia, a short-term insurance company and an equal opportunity employer, is looking for a motivated and skilled Office Administrator to join our dynamic team.
Key Responsibilities:
- Provide comprehensive administrative assistance to directors, executives, and staff, including scheduling meetings, handling correspondence, and preparing detailed reports.
- Coordinate all communications for Directors and the Principal Officer, including calls, emails, and client interactions.
- Maintain and organize both physical and electronic documents, ensuring proper archiving and accessibility.
- Create, proofread, and produce high-quality documents, reports, and presentations.
- Organize and facilitate meetings, prepare agendas, coordinate attendance, and take accurate minutes in a timely manner.
- Organize logistics for conferences, travel bookings, and accommodation for executives.
- Assist with processing invoices, purchase orders, and payments while maintaining accurate financial records.
- Work on accounting software such as Pastel and Omni to support bookkeeping tasks.
- Conduct ad-hoc research and assist in project tracking and milestone updates.
Skills And Qualifications:
- High school certificate or equivalent; a Bachelor's degree in Business Administration, B-Commerce, or a related field is a strong advantage.
- Minimum of 1-3 years of experience in office administration, bookkeeping, or customer service.
- Demonstrated experience in managing projects and tracking progress.
- Strong organizational and multitasking abilities with excellent attention to detail.
- Familiarity with accounting software like Pastel and Omni.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Exceptional verbal and written communication skills.
- Proven ability to collaborate effectively across all levels and work well within a team.
- Professionalism in handling confidential matters and interfacing with clients.
