Minimum Qualification Criteria:

  • Bachelor's Degree in Business Administration or similar (attach copy)
  • More than 3 years of experience in office administration or a similar administrative role
  • Experience with using Sage Pastel Partner
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
  • Code B Driver's License (attach copy)


Advantageous Factors:

  • Knowledge of or experience with the types of products and services offered by HEPWater
  • Experience with client engagement, finance administration and tender support
  • Experience with marketing-related tasks including marketing events and promotional material


Key Responsibilities:

  • Reception and Communication: receive visitors, answer incoming calls and respond to inquiries,
  • Coordinate meetings and make arrangements for the team.
  • Client Engagement: assist with quotations for clients, serve as the cashier and process sales orders and invoices for walk-in clients.
  • Finance Administration: assist with accounts payable and accounts receivable tasks, assist with procurement administrative documents, reconcile financial transactions and maintain records.
  • Administrative Support: maintain office files, records and databases systematically, keep supplier and client agreements up to date, prepare meeting minutes, and maintain office supplies.
  • Tender Support: identify tender opportunities for the team, obtain tender documents as required, and assist with tender document preparation.
  • Office Equipment Maintenance: coordinate office & equipment maintenance, and ensure office equipment is in working order.
  • Marketing Support: assist with organizing the expo stand, marketing events and promotional material.
